The Economics & Statistics Department has informed on conducting an on-site Special Drive for the "Digitization of manual Birth and Death Certificates" of officers and staff of the Nagaland Civil Secretariat, Kohima. The drive will be held at the Lobby of the Nagaland Civil Secretariat Complex from 2nd to 4th June, 2026, from 11:00 A.M to 4:00 P.M. All Officers and Staff of Nagaland Civil Secretariat are encouraged to avail this opportunity to digitize their old manual certificates, including certificates of their spouses and children.

            The initiative is being undertaken as part of the Government's effort towards seamless digital governance and to facilitate the creation of a secure digital database of legacy Birth and Death records. The Department is also striving to achieve 100% digitization of legacy Birth and Death Certificates in the State.

            In this connection, all AHoDs, Officers and Staff are requested to extend full cooperation and ensure participation in the Special Drive by making available the required manual Birth and Death Certificates and supporting documents, if any, during the scheduled period.

            The special drive will offer services for "Registration of Birth/Death, Delayed Registration of Birth/Death" and "Correction of details in Birth/Death certificates" for events occurring within Kohima Sadar. Further, assistance for the general public login can be availed for all the districts.

            A.    Documents required for Digitization of Old Certificates: Original Birth & Death Certificates. HSLC Admit Card for Proof, in case Original Certificates are not available.

            B.     Documents required for "Normal Registration/Delayed Registration": Please note that only events occurring within Kohima Sadar shall be eligible for registration/correction under SI. No. B&C

            1.       Births and deaths registered within 21 days from the date of occurrence fall under "Normal Registration" and require only proof of the date of birth/death tor registration.

            2.      SI. Nos. ii, iii, and iv are categorized as "Delayed Registration". Any registration carried out after 21 days from the date of occurrence shall be treated as delayed registration and will require permission/order from the competent authority along with the documents listed below:

After 1 (one) year of occurrence

1.      A copy of order issued by the Deputy Commissioner, or a subordinate officer authorized by the Deputy Commissioner for the area where the birth/death has occurred.

2.      Proof of date of birth/death.

 

            *proof of Birth: any of three whichever is applicable

            1. Institutional Births (Hospital Discharge Slip/Card or Certificate or Vaccination Card), or,

            2. Home Births (Vaccination Card or Certification by VCC/Colony Chairman), or,

            3. HSLC Admit Card/Aadhaar Card.

            *Proof of Death: Certification by VCC/Colony Chairman or Medical Certificate for cause of death.

            C. Documents required for Correction of (Name, Mother's Name, Father's Name and Surname) in Birth & Death Certificates: HSLC Admit Card, Aadhaar Card, Pan Card, Govt. ID Card (Xerox Copy)
